This gives you the opportunity to let your caller/person know that you are hearing and listening to exactly what they are saying, and also to get a better understanding of the situation.
Do not interrupt
Allow the caller/person to finish what they are saying before you begin speaking.
Do not pre-empt
You have no idea what is going to be said so do not pre-empt any conversation listen to what is being said to gain full facts.
Re-cap
Go over facts and confirm what you have already understood of the conversation get clarification.
Always have a pen and paper
Take notes of important facts, so that you can re-cap correctly including the name of the person you are having the conversation with.
Ask for a repeat
If you miss heard or did not understand fully then ask them to repeat what they have said to ensure that you allow 100% comprehension.
